DWG Data Protection Complaints Process


Introduction

Digital Workplace Group (DWG) is committed to protecting personal data and upholding individuals’ rights. We take our obligations under the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018 (DPA) very seriously. We are committed to providing a professional and effective service and strive to investigate complaints in a prompt and effective manner in accordance with Data Protection Laws. This Policy sets out how you may raise a data protection complaint and how DWG will handle it.

You may have a data protection complaint about how we have handled your personal data or any data protection rights, including but not limited to:

  • DSAR (Data Subject Access Request)
  • Individual Rights
  • Access to data
  • Privacy Notice or feeling like your personal data is not being processed in line with our privacy notice
  • Sharing / disclosure of data
  • Data retention
  • General personal data handling
  • Personal data breach
  • Unauthorised disclosure and not keeping information secure
  • Data Accuracy and inaccurate / incomplete information
  • Marketing / communications
  • Other data protection concerns

This Policy does not cover general service complaints not related to data protection matters.

How to make a complaint

You may submit a complaint using the complaints form which is linked here or by contacting Paul Miller our Data Protection Officer (DPO). You can contact DWG’s Data Protection Officer on the following email address – admin@digitalworkplacegroup.com

Alternatively you can contact us by post at 167-169 Great Portland Street, London, W1W 5PF marking for the attention of Paul Miller, Data Protection Officer.

How DWG will handle your complaint

We will begin looking at your complaint immediately and will acknowledge receipt of your complaint within 30 days. In some cases we may be able to provide a full response to your complaint within 30 days.

Throughout the process we will keep you updated with information about what we will do at each stage and when you can expect further information from us. For example, we will need to gather as much information as we can to establish the relevant facts as thoroughly, fairly and accurately as possible. If we need more information we will be in contact with you to better understand the problem so we can resolve it.

When we provide a full response to your complaint we will let you know the outcome of our investigation and will clearly explain what we have done to resolve the complaint and any actions we have taken internally. We will include enough information to help you understand how we have reached our conclusion. We will respond as fully as possible whilst protecting confidentiality and the rights of other individuals.

Escalation

If you are not satisfied with DWG’s response, you have the right to raise your concern with the UK’s data protection regulator, the Information Commissioner’s Office (ICO).
